The Position: The Operations Coordinator supports the administrative functions of The Alliance by ensuring the day-to-day work runs smoothly. The Operations Coordinator will work closely with the Executive Director and management to develop and support organizational systems, processes and policies to guide operations of the office. Key responsibilities include office management, human resources support, event logistics, and data entry.

Location: Minneapolis – Hybrid, Monday/Wednesday/Friday remote, Tuesday/Thursday in-office
Salary range from $55,000
RESPONSIBILITIES
Operations and Administration
- Manage day-to-day office operations, including mail distribution, office supplies, and meeting logistics.
- Ensure the office is well-maintained for shared and flexible use.
- Coordinate the logistical planning of Alliance events, convenings, and activities.
- Coordinate strategies with the Executive Director to streamline operations, addressing gaps and efficiency opportunities.
- Maintains and regularly updates organizational operating manual.
- Handle clerical tasks (filing, sorting, shredding, copying).
- Oversee risk management with the Executive Director, including general liability, property insurance, directors’ insurance, workers’ compensation, and unemployment.
- Problem-solve administrative and IT issues for the organization.
Human Resources and IT
- Support recruitment, hiring, onboarding, and orientation of new staff (IT setup, desk assignments, HR forms, interview coordination).
- Maintain IT infrastructure, ensuring consistency, database management, and security.
- Support administration of payroll, including timesheets and tracking PTO accrual.
- Work closely with Executive Director to research and coordinate benefits (such as: IRA and health, dental, vision, and life insurance) administration
Bookkeeping and Finance:
- Process incoming invoices, payments, and donations, including data entry.
- Run reports from bookkeeping system and client databases.
- Manage vendor contracts with the Executive Director.
- Support tracking of program budgets for organization
Other Responsibilities
- Support other staff as needed, in coordination with the Executive Director.
QUALIFICATIONS
Education and Experience:
- At least 2 years of organizational operations or office management experience.
- Working knowledge of 501c3 administrative structures.
- A degree or certificate in business administration, operations management, or a related field, a plus.
- Experience with bookkeeping and/or human resources a plus.
Knowledge, Skills, and Abilities:
- Commitment to social and racial justice.
- Self-motivated, reliable, and operates with integrity.
- Strong collaborator and communicator, who can work with a diverse team.
- Strong analytical and problem solving skills.
- Knowledge of HR practices (recruiting, onboarding, termination).
- Experience with accounting (payroll, accounts payable/receivable, compliance).
- Strategic thinking for organizational impact and innovation.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
- Familiarity with Quickbooks, a plus
- Ability to develop training manuals.
- Knowledge of nonprofit administrative structures, a plus.
- Ability to anticipate the needs of the organization and proactively innovate and recommend feasible solutions.
- Excellent communication skills, both oral and written.
Physical Demands:
- Ability to work a full workday, largely at a desk.
Salary and Benefits:
Salary is commensurate with experience, and The Alliance offers a competitive benefits package. This is a full-time exempt position. Salary range is from $55,000.
